1. Who we are

Nikmani Inc. is a technology company incorporated in Canada and headquartered in Toronto, Ontario. We operate the Nikmani accounting platform available at nikmani.com and app.nikmani.com. When this policy refers to "Nikmani," "we," "us," or "our," it means Nikmani Inc.

PIPEDA compliance. Nikmani is subject to the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's federal privacy law. This policy is designed to meet and exceed PIPEDA requirements.

2. What we collect

We collect information in three ways: information you give us directly, information generated by your use of the platform, and information from third-party services you connect.

Information you provide

  • Account information: your name, email address, and password when you create an account.
  • Business information: your business name, type, and province when you set up your account.
  • Financial data: transactions, receipts, invoices, bank statements, and other financial records you upload or connect.
  • Payment information: your credit card or payment details when you subscribe to a paid plan. This is processed by Stripe and never stored on our servers.
  • Communications: messages you send us through our contact form or by email.

Information generated automatically

  • Usage data: which features you use, how often, and how long.
  • Device information: browser type, operating system, and IP address.
  • Log data: actions taken within the platform and error reports.

Information from connected services

  • Bank feed data: transaction history from your connected Canadian bank accounts, provided through our banking integration partners.

3. How we use it

We use your information to provide and improve the Nikmani platform. Specifically:

  • To operate your account and provide the services you have subscribed to.
  • To power AI features including receipt scanning, auto-categorization, and the AI Consultant.
  • To generate financial reports, forecasts, and insights specific to your business.
  • To send you account-related notifications such as payment confirmations and security alerts.
  • To respond to your questions and support requests.
  • To improve the accuracy of our AI models and the quality of our platform.
  • To comply with legal obligations.

We never sell your data. Your financial information is never sold to advertisers, data brokers, or any third party. We do not use your data to serve you advertising.

4. Where it is stored

All Nikmani data is stored on servers located in Canada by default. We use Amazon Web Services infrastructure in the ca-central-1 region (Montreal, Canada).

For clients who require it, we offer optional Canadian-only data residency, ensuring your data never leaves Canadian territory. Contact us to enable this for your account.

5. Who can see it

Your financial data is private to your account. Specifically:

  • Your data is accessible to you and any team members or advisors you explicitly invite to your account.
  • Nikmani staff may access your data only when necessary to provide support, and only with appropriate access controls in place.
  • Our technical infrastructure partners (AWS, Stripe, Flinks) have access only to the data necessary to operate their respective services.
  • We may disclose information if required by law, court order, or to protect the safety of users or the public.

6. How we protect it

  • All data is encrypted in transit using TLS 1.2 or higher.
  • All data is encrypted at rest using AES-256 encryption.
  • Two-factor authentication is available and encouraged for all accounts.
  • Role-based access controls limit internal access to your data.
  • Regular penetration testing and security audits are conducted by third parties.
  • Daily encrypted backups with cross-region replication.

7. Your rights

Under PIPEDA and applicable Canadian privacy law, you have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate personal information.
  • Request deletion of your personal information, subject to our legal obligations to retain certain records.
  • Withdraw consent for certain uses of your information.
  • Lodge a complaint with the Office of the Privacy Commissioner of Canada.

8. Cookies

We use cookies and similar technologies to keep you logged in, remember your preferences, and understand how you use the platform. We do not use cookies for advertising or cross-site tracking. You can control cookies through your browser settings.

9. Children

The Nikmani platform is intended for adults operating businesses. We do not knowingly collect personal information from anyone under the age of 18. If you believe we have inadvertently collected information from a minor, please contact us and we will delete it promptly.
